HTECH Solutions ("we", "us", "our") builds HTECH University Management System (HTECH UMS). This Privacy Policy explains how we collect, use, and protect personal data when you visit htech-ums.com (the "Website") and interact with us — for example by requesting a demo. It does not cover an HTECH UMS deployment operated for a customer institution, which is governed by our separate agreement and Data Processing Addendum with that institution.

Information you provide to us

When you request a demo or appointment, we collect the details you submit: your name, work email, institution, role or title, phone number, approximate number of students, the modules you are interested in, your preferred demo type and time, and any message you include.

If you use the on-site assistant and choose to share your details, we collect the name, email, and institution you provide.

We also keep any other information you send us by email or other correspondence.

Information we collect automatically

With your consent, we collect first-party usage analytics — such as the pages you view and actions you take on the Website (for example, clicking a call-to-action) — to understand how the site is used and to improve our content, SEO, and marketing. We do not use third-party advertising trackers.

We process your IP address transiently to operate the Website securely — for example, to rate-limit form submissions and to prevent spam and abuse.

Standard technical information from your browser or device may be recorded in our server logs.

Email engagement

If we send you email — for example a proposal you requested or a marketing message you have opted into — we may use a small tracking pixel to record whether the message was opened, so we can measure engagement and follow up appropriately.

How we use your information

  • Respond to and manage your demo, appointment, and sales enquiries.
  • Prepare and send proposals and communications relevant to your interest in HTECH UMS.

How we share information

We do not sell your personal data. We share it only with service providers who help us run the Website and our business, under contract and only as needed:

  • Hosting and content delivery — our own server and Cloudflare, which provides DNS and CDN/security services.
  • Email delivery — our transactional email provider, used to send proposals and notifications.
  • Assistance features — where you submit text to features such as writing-quality checks on proposal drafts or the on-site assistant, that text is processed by the relevant provider to deliver the feature.

We may also disclose information where required by law or to protect our rights, property, or safety.

International transfers

Some of our service providers may process data in countries outside your own. Where we transfer personal data internationally, we rely on appropriate safeguards such as standard contractual clauses.

Data retention

We keep personal data only as long as necessary for the purposes described above — for example, for the duration of our sales relationship and a reasonable period afterwards — and then delete or anonymise it. You can ask us to delete your data at any time.

Your rights

Depending on your location, you may have the right to access, correct, delete, restrict, or object to our processing of your personal data, to receive a copy in a portable format, and to withdraw consent. We protect personal data with encryption in transit (TLS), role-based access controls with two-factor authentication for our team, and storage in a secured, access-controlled database. No method of transmission or storage is completely secure, but we work continuously to protect your information.

Children

The Website is intended for business users and is not directed to children. We do not knowingly collect personal data from children.
